Instructions for Verifying Insurance to Cover Mental Health Sessions at Thrive for Life Counseling
At Thrive for Life Counseling, we strive to make therapy accessible and affordable for our clients by accepting most major insurance plans. Follow these steps to ensure a smooth process when using your insurance to cover your mental health sessions:
Using Headway for Insurance Billing
Thrive for Life Counseling partners with Headway, a trusted service and provider group that makes it easier for clients to use their insurance benefits. Headway works with your insurance company to check your coverage, handle billing, and process claims so you can focus on your therapy sessions without worrying about paperwork. Through Headway, you'll have access to clear details about costs and coverage, receive reminders about payments, and track claims in one place. Although Headway provides their “best estimate” through an auto-verification system, no billing company can exactly determine your benefits. After a session, a claim is filed with your insurance company. At this point (or sometimes months later), the insurance company can adjust the estimate and total that you owe for previous sessions. Thrive for Life Counseling wants to avoid this at all costs which is why we recommend that you reach out to your insurance company to double check your coverage and estimated costs before beginning services. All fees are ultimately the responsibility of the client.
1. Verify Coverage with Your Insurance Provider
While Thrive for Life Counseling will reach out to obtain cost estimates on your behalf, we highly recommend confirming the following details directly with your insurance company to ensure the most accurate information. You will need to call your insurance company’s member services or customer service number (located on the back of your insurance card).
What you will need when you make the call to your insurance company:
Your insurance card with your Member ID and date of birth.
Headway’s group name:

What to ask when you are on the phone with your insurance company:
Once you are speaking with a representative at your insurance company, you can say the following:
“Can you please verify whether a provider group and one of their specific therapists is in network with my plan? I have the provider group’s name (Headway), NPI, Tax ID Number, & address as well as the therapist’s name, NPI, and license number.”
From there, the representative should ask for everything they need to verify if we are in network with your plan, what your benefits include, deductible amount, and co-payment or co-insurance amounts.
Before hanging up with the representative, ask for your call reference number which helps the Headway team should they need to reach back out to your insurance company.
Make sure to document all responses, including the representative’s name and call reference number, for your records.
2. Understand Your Financial Responsibility
Thrive for Life Counseling will submit claims on your behalf.
Any copayments, coinsurance, or deductibles must be paid at the time of service via the credit card or FSA/HSA card on file with Headway.
If your insurance denies a claim at any point in the future, you are responsible for the session fees.
3. Stay Updated on Coverage Changes
Insurance policies can change, so it’s important to periodically confirm your coverage details with your provider. Notify Thrive for Life Counseling immediately of any updates to your insurance plan.
